Job Responsibilities
Perform Recruitment, Timekeeping & Payroll, declaration of Social Insurance, Personal Income Tax and monthly Trade Union fees for the company’s office and store employees in Ho Chi Minh City, with specific duties including:
Timekeeping:
- Verify and reconcile timekeeping data for all company employees via the software.
- Handle cases of missed clock-ins/outs and incorrect time entries according to company regulations.
- Track employees’ annual leave on a monthly/annual basis.
Payroll, Social Insurance, Personal Income Tax and Trade Union:
- Prepare monthly payroll and calculate monthly sales commissions for store sales staff.
- Address employee inquiries regarding salary, bonuses and insurance monthly (as needed).
- Prepare monthly Social Insurance cost reports; declare and process monthly/quarterly Personal Income Tax.
- Manage procedures for registering new hires and terminations (increase/decrease reporting), information updates, processing sickness and maternity leave benefits, and finalizing social insurance books for employees (SI, HI, UI) monthly.
- Trade Union: Prepare cost reports and track union fee payments.
Labor Contracts:
- Monitor labor contracts monthly for employees completing their probation period.
- Manage the renewal process for existing employees’ labor contracts.
- Prepare contract appendices and collaborator agreements for company personnel as required.
Other Tasks:
- Handle administrative tasks for the HCMC office, including managing expenses for phone, internet, employee business travel, etc.
- Draft documents and emails to communicate company-wide regarding benefit policies, employee rights, or updates to Labor Law, Social Insurance Law, etc.
- Coordinate and perform other tasks as assigned by the direct manager and the Board of Directors/Management, including English-Chinese-Vietnamese translation/interpretation.
Job Requirements
- Age: 22 – 35 years old.
- Education: College/University degree in HR Management or related fields.
- Languages: Fluent in both Chinese and English (all four skills: listening, speaking, reading, writing).
- Experience: Minimum 01 year of experience in C&B or a similar HR role. Candidates without experience may be considered for training.
- Solid understanding of Vietnamese Labor Law, Social Insurance, Health Insurance regulations, and common market practices regarding employee benefits.
- Proficient in MS Office suite (Excel, Word).
- Proactive, candid, enthusiastic, and able to work independently.
