Summary
Our strategic partner is seeking a Specification & System Manager to govern specifications, technical documentation, product master data, and change controls for raw materials, packaging, semi-finished and finished products, and production processes. This permanent role reports to the Head of R&D and connects R&D, Quality, Regulatory, Production, Procurement, Sales, customer technical teams, and Supply Chain.
Job Responsibilities
Product Specifications Management:
- Own the preparation and ongoing upkeep of product specifications, COAs, technical data sheets, allergen statements, GMO declarations, and related technical records.
- Verify that specifications remain accurate and consistent with approved formulations and manufacturing processes.
- Introduce common specification-management practices across business units and product categories.
- During development and commercialization, work jointly with R&D and Quality to confirm technical compliance.
Specification System & Document Control:
- Control the specification lifecycle from drafting, review, and approval through release, training, implementation, revision, archiving, and withdrawal of obsolete documents.
- Define document-coding conventions, version controls, approval matrices, and scheduled review cycles.
- Keep technical documentation controlled, traceable, and audit-ready.
- Implement controls that prevent outdated or unapproved specifications from being used in production, quality control, customer documentation, or audits.
Regulatory Affairs & Compliance:
- Align products with domestic and international food regulations, legal obligations, customer requirements, and compliance standards.
- Assess new food legislation, regulatory policies, import and export rules, and industry standards to determine their implications.
Cross-functional Collaboration:
- Coordinate with R&D, Quality, Procurement, Manufacturing, and Commercial teams on compliance throughout the product lifecycle.
- Embed regulatory and compliance reviews into new-product initiatives from the early development stages.
- Support supplier compliance and review supplier technical documentation.
Continuous Improvement & Governance:
- Develop and refine compliance procedures, specification systems, and document-control processes.
- Advance the digitalization and database management of specifications and compliance records.
- Keep internal stakeholders informed through compliance training and regulatory briefings.
Job Requirements
- Bachelor’s degree or higher in Food Technology, Food Science, Biotechnology, Chemistry, Regulatory Affairs, or a related field.
- Minimum of 5–8 years’ experience within Food Ingredients, FMCG, Food Manufacturing, or related industries, focusing on Regulatory Affairs, Product Compliance, Technical Services, or Specification Management.
- Strong knowledge of food regulations, technical compliance standards, and labeling obligations.
- Experience in providing support to B2B customers and managing technical documentation.
- Strong understanding of end-to-end product compliance processes and food regulatory frameworks.
- Experience with regulatory requirements for international markets and exports.
- Familiarity with certifications and standards such as FSSC 22000, HACCP, HALAL, ISO, BRC, or their equivalents.
- Candidates with experience in food ingredients, flavors, seasonings, beverages, bakery, dairy, or nutrition are preferred.
- Strong documentation and analytical capabilities, with close attention to detail.
- Effective skills in project coordination and stakeholder management.
- Good abilities in communication and problem-solving.
- Proficient in Microsoft Office and specification or document-management systems.
- English proficiency at a working level.
